Tysul Vet Privacy policy


You consent, by using our Website, registering with us and by using our veterinary services and purchasing our products, for pets, livestock and/or equids, that personal information you provide will be held on our practice management system database.

As we require this data to treat your animals and for legal reasons it is necessary for the performance of the contract with you, we consider (under section 3, article 6 of the GDPR regulations) that formal, written consent is not required to record this data.
 

What information does Tysul Vets collect about you?

When you use our services and purchase our products we will collect information about you in the following way:-
 

On registration as a client to use our services and products

Your name/s
Your postal address
Your contact number/s
Your email address

The lawful basis of use of this information is by contract to use our services and products.
 

We use this data in the following way:

To enable us to deliver services and supplies products to you, for registering or updating your details, for making appointments, for processing fees and producing invoices and estimates, to contact you about your pets treatment, for sending reminders for treatments and vaccinations, for customer surveys, for updates to our services or terms and conditions.

We do not share your information with any third party marketing companies outside Tysul Vets. We do not collect sensitive personal information such as race, religion, political affiliations or bank/credit card details. 
 

Disclosure of information to comply with the law

We will disclose your personal information, without notice, if required to do so by law where
● Action is required for for Tysul Vets to conform to the edicts of the law or comply with legal process served on the Practice

● To protect and defend the rights or property of Tysul Vets
● Where circumstances require we act to protect the personal safety of users of Tysul Vets, or the public.

We collect and process information so we can carry out our responsibilities in animal health, animal welfare, disease monitoring, public health, conservation and compliance with regulations.
 

We may use your data for the following:

● Investigate and report positive results for notifiable or reportable disease
● Monitor the possible spread of disease and inform risk assessments
● Consultations/visits/inspections required to protect animals and animal welfare
● Develop disease control measures
● Inform the Veterinary Medicines Directorate of a suspected adverse reaction to a pharmaceutical product
● Produce guidance and reports
● Client research to improve our services
● Dealing with legal claims against us and fraud prevention
● Use of IT servicing of data systems

Ensuring our administrative and IT systems are secure and robust against unauthorised access

Maintaining up-to-date personal data to ensure effective correspondence and contact points in the event of an emergency.
 

On occasion we will share your Information with:-

● Other Veterinary Practices and referral centres
● Insurance companies who request a pet’s medical records to process an insurance claim
● Financial data to agencies assisting us with unpaid debt or to County courts for debt collection
● External Laboratories
● PCS Pet Crematorium service
● Local authorities and other public bodies to meet legal requirements
● RSPCA, other Charities to include Cats Protection League, Dogs Trust guide Dogs for the blind
 

For Farm and livestock clients

● Defra/APHA
● Iechyd Da
● Vet Impress
● Welsh Lamb & Beef Producers

We may have to release information (including personal data and commercial information under the following legislation:
● Data Protection Act 1998
● Freedom of Information Act 2000 However, we will not allow any unwarranted breach of confidentiality and we will not act in contravention of our obligations under the Data Protection Act 1998.
 

General enquiries and information requests

If you are making enquiries about registration or our products and services we will collect the following information that is identifiable.

● Your name, your contact number/s, your email address and your area

We do not share this information with anybody outside of our company. The lawful basis of use of this information is by your acceptance (or contract) in providing this information
 

What information do we collect and why?

When you register your pet with us you will be asked for some essential information including your title, first name, surname, postal address, email address and telephone numbers. These details are collected either in person, by telephone or online, to help us:
 

Who may we sometimes share your data with?

● Insurance companies who request a pet’s medical records to process an insurance claim
● Financial data to agencies assisting us with unpaid debt such as Proserve
● External Laboratories
● Pet Health Plan providers for the collection of direct debit and home delivery processing: Vetcel
● Debt Management agency if reminder invoice has not been acknowledged
● PCS Pet Crematorium service

The data manager will ensure we have agreements in place with the above companies which confirm that your data will be processed following GDPR regulations.
 

How do we protect your information?

Your data is stored securely on our servers and also the Cloud servers of our Practice Management Software, Teleos and their policy can be found on their website (https://www.teleosvet.co.uk/products) . Our IT systems are regularly reviewed and updated to the latest version of windows. Software is updated daily as required. We have a firewall in place and antivirus/security software.

We endeavour to keep your data up to date and accurate. Please help us keep your data up to date by contacting us if there are any changes. We have in place strict security procedures for the storage and disclosure of your information to prevent unauthorised access.  
 

Your Rights

You have a right to access the personal data about you that is held by us. To obtain a copy of the personal information please apply in writing to the practice. The request will be passed onto our data controller and will be made available within 30 days. You also have a right to request that we delete your data. As your data has to be kept by us for legal reasons, we would consult our professional advisers with regards to any legal requirements to keep any data and inform you of their decision. Legally we have 30 days to exercise this.
 

Changes to our Privacy Policy
